Judges Hospitality

This person is responsible for the judges' transportation and local accomadations.

Time Line

In the early Fall prior to the show

• Negotiate contract with host hotel. Reserve a block for the judges and other VIPs. Include several pet friendly rooms as well as a mix of both double queens and king options.

• In the past have reserved rooms for MB-F, announcer, EMT & photographer. Check with AKC rep and see if a room needs to be reserved for them.

March

• Send list of Judges' names to the hotel and their requested reservations.

April

• Send hotel information to the judges requiring them to call in their reservations using their personal credit card. I also provide an email with local restaurant suggestions, suggested apparel for our changing weather, transport info times to and from the show, and my contact information.

June

• Check with hotel to see who has reserved their room.

• Send reminders to the judges that have not called in.

• It helps to reserve an extra room for unexpected changes. Cancellations can be made 24 hours in advance.

Need members to help

• If judges are to be picked up at the Monterey Airport make sure time and flights are current. This can be done by other members.

• Judges are picked up at 7:15 am the day of the shows and returned from the show site after BIS.

• Might need another driver to help with judges that need to be returned to the hotel sooner.

Expenses expected

• Taxi expense to take early morning departure from the Monterey Airport on Monday. Check with cab company for the cost to drive person to Monterey airport and give that amount of cash to the judge.

• Tips for hotel employees who assist in extra chores.

Other considerations

• Ask the hotel to open the restaurant at 6:30 am on Saturday and Sunday. The restaurant is owned by a separate company so check with the chef/owner.

• Put a notice at the check-in desk on Thursday about breakfast being served at 6:30 am on Saturday and Sunday

• Judges are usually picked up at the hotel around 7:15. Breakfast is available at the show site, but some judges will want to eat at the hotel

• Some judges will fly into San Jose or San Francisco and rent a car to drive to Monterey. They will sometimes drive themselves to the show site. But check with them before the show so someone isn't waiting for them at the hotel.

• It is helpful to have a check list of who is going where and with whom. Might want to get the judges'cell numbers.
