Standing Operating Procedure for
Del Monte KC Day of Show Parking
Distribute parking schedule signup sheet at meetings. Email membership with open dates and times asking for volunteers. A signup sheet is available detailing the number of people needed.
Locate and organize gate signs.
'Have a Pass' with arrow pointing right.
'No Pass' with arrow pointing left.
Sign with pass pricing.
Sign for catalog sales.
Signs directing traffic to upper or lower fields.
Print passes using templates. Each pass has its own color.
Friday Pass
Saturday Pass (acts as two day pass)
Sunday Pass (acts as three day pass)
Vendor Pass
Member Pass
Officials and Kiwanis will be provided the three day pass.
200 Friday. 200 Saturday. 500 Sunday. 50 Vendor.
On or around June 15th mail vendor passes to vendor chair and 25 Friday passes to specialty chair.
Contact club treasurer and request a cash box and change.
You will need two hundred in fives and three hundred in tens.
The show chair has list of club member cell phone numbers. Get a copy for the gate.
You will have members changing their gate schedules after the show acknowledgements come out. They will find that their ring time conflicts with their gate duties. It will be your responsibility rearrange the schedule as needed. Plan on last minute changes.
Prior to show:
Inspect gate area. Make sure you have your sandwich boards to direct traffic. Cones to establish two lanes for entry. Aprons for gate attendants.
The RV people may already have a canopy up. If not you will want to set the DMKC canopy up. Check in with RV parking people. They will be at the gate with you on Friday while receiving and parking RV’s for the weekend. They will also provide you with a radio to contact them in case there is an issue with overnight clients. We have some issues with TOW vehicles wanting to enter the grounds during show hours. Professional handlers are a priority. Connect them with overnight parking people immediately.
Get your change for the gate or at least have contact with the treasurer as to when change will be delivered Friday morning. You don’t want to be at the gate Friday morning without the ability to provide change!
Night before show:

Gate will need to be attended from 6am to 3pm

See if a radio is available from MBF so you can communicate with your day of show parking people from MBF. They are physically parking the cars. This will be more important Saturday and Sunday.

Set up your sandwich board signs. You will use the parking signs to direct cars. Tell cars to follow the signs to the lower or upper fields and parking attendants will help them park.

“Specialties-Obedience” sign at first right hand entrance to upper field parking lot.

Find out which specialties are being held below and which are above so you can direct cars to the right area. All obedience parking is on the upper lot.

Catalogs are usually not yet available.

Overnight (RV) people will be at the gate from 6am to 8am. Once the specialties begin they will close up overnight parking and won’t be back until 3pm or 4pm. RV’s are not allowed to park in the lot or anywhere on the grounds while waiting. It’s printed in the premium list and must be enforced. It doesn’t take long to jam up the parking lot so that day of show cars don’t have room to pass.

You do have a radio and if room permits you can park a couple of RV’s in front of the admin building, then radio the RV people. They will decide if the RV can be parked or if it must leave the grounds. Take them on a one by one basis. As the day progresses this becomes more of an issue. Professional handlers are a top priority when it comes to early arrivals. Don’t chase them away. Overnight always has their space available.

Overnight vehicles will arrive at the gate. They will be asked to drive around the parking lot back in front of the admin building and straight into the dirt road leading to the lower field. This area needs to be kept clear.

Be sure and try to sell three day passes by reminding exhibitors that they are saving money.

Members park on the basketball courts.

Vendors use the dirt road.

Kiwanis go to the lower field.

Handicapped parking is limited and there are no guarantees. That will be MBF’s problem. Simply point them to the lower lot.

Close up at 3pm. Keep your seed money (fives and tens) and give the rest to the treasurer. RV parking people will take over the gate.
Friday: Don’t let traffic back up onto Carmel Valley Rd. Get them into the lot.

Cars with school employees. Let the through.

People wanting to use the grounds for tennis, basketball, baseball and walking dogs. Tell them DMKC has leased the grounds from the school district for the weekend and most of the parking fees are donated to the school for the exclusive use of the grounds.

Exhibitors will ask if they can set up x-pens and canopies without paying for parking. Everyone pays for parking when they arrive.

All weekend mornings are generally foggy and we have drizzle. Afternoons are generally sunny and hot. Layered clothing, sunscreen and hats are recommended.

People will get under your skin. Stay positive and remember that the gate attendants represent the club and are the first contact exhibitors and spectators have with the club. Smile and be as helpful and courteous as possible without giving up the farm. Saturday: Don’t let traffic back up onto Carmel Valley Rd. Get them in the lot.

Gate opens at 6am

Get your radios from MBF and RV parking.

Start asking for catalogs. Two boxes at first.

Try and get a few show schedules. Spectators will ask what time dogs show and which ring.

Saturday morning is a madhouse. Make sure you have enough people attending the gate to not only take fees but direct traffic. After 7am cars will back up quickly.

Establish two lanes. The outside lane for people with paid passes and the inside lane for people needing to purchase passes. You will need to change your signs to “Saturday and Sunday”.

One person should stand 100 feet inside Carmel Valley Rd. entrance to help identify cars with passes, moving them into the outside lane and making sure traffic does not back up on to Carmel Valley Rd. They will look for passes in windshields and waive them to the outside lane.

The grounds chair normally hires students to man the dirt road that leads down to the overnight parking. They will keep cars from skirting the gate. They should be in place by 7am.

Until 8am cars with the proper passes can be allowed down the dirt road. Vendors, TOW vehicles and workers. After 8am that road is closed to all traffic unless approved by RV overnight people. They will need to be contacted first.

It’s common for cars to stop at the dirt road and argue with the attendants. The person at the forward position must have the authority to move those cars along or cars will back up onto Carmel Valley Rd. quickly. They must be told to continue to the gate. At the gate they can plead their case and be directed to the proper entrance.

Obedience is on the upper lot. All others are directed to the lower lot.

Watch your cash box, it will fill up. Ask the treasurer to pick up money a couple of times. You will have thousands of dollars in that box.

Have gate attendants carry catalogs in their aprons along with various passes and some change. Ask every car if they would like a catalog with their pass. It saves them time later.

Shut the gate down shortly after groups begin.

Keep your seed money (fives and tens) and give the rest to the treasurer. Make a record of money transferred. You will need it for your parking report. RV parking people will take over the gate. This is their last day of work. They will know how many people if any are still due to arrive.

Cars wanting to go down the dirt road.
Handicapped cars wanting special parking.
TOW vehicles wanting to drive down to the RV parking.
Cars asking why they need to pay to enter a public school.
Cars wanting to park in the lot directly behind the gate.
On occasion you will get an oversized vehicle wanting to park. Like an RV. Park them in front of the school admin building after collecting your parking fee.
Kiwanis. All day long. They have many volunteers.
Spectators will ask if they can bring their dogs to the show. In previous years well behaved dogs on leads have been allowed. They must be on lead. Check each year to make sure the rule still stands.
You will be in charge and asked for many favors and special parking. Only you can make the final decision. SMILE when you say no.
Sunday: Don’t let cars back up onto Carmel Valley Rd. Get them in the lot.
Gate opens at 6am
Get your MBF and RV parking radios.
Make sure you have enough catalogs.
Make sure your students are manning the dirt road.
Locate your show schedules.
Get your go to person at the gate entrance to direct traffic.
Most of your early traffic today will have paid passes. Waive them through!
Remind attendants to offer catalogs.
Nothing much else different than Saturday.
Close the gate when groups begin.
Drop your canopy. Fold up the sandwich signs, stack the cones, fold up the tables. Organize for cleanup at end of day. Grounds will send a cart up for everything after Best in Show or sooner.
Perform a final count of your cash box, record it and transfer all money and the cash box to the treasurer. List of common issues that come up on Sunday.
Sunday passes are being sold primarily to spectators. There are many more novice questions at the gate that may create a log jam.
Speed of cars becomes more of an issue on Sunday for some reason. Try to keep the gate traffic slowed down to a safe speed.
RV’s leaving the grounds after showing. This begins around 10am. They will begin to come up the dirt road. Use your students to move cones and help them maneuver the exit while not interfering with day of show cars arriving at the gate.
